AI Integration
The useful question is not whether to use AI. It is which deployments pay for themselves and which quietly cost more than they save – and those are different questions in each of three categories.
Public-facing – chatbots, marketing content, taking in external data. The saving is the cost per contact. The waste is that many people actively dislike dealing with automated systems, so a badly implemented one costs more in lost sales and clean-up than it ever saved.
Private-facing – internal reporting, operational data flow, legacy data mining, migrations. The saving is efficiency and accuracy. The waste is the data clean-up needed to get there, and staff confusion when it lands badly.
Ad-hoc – research, one-off reporting, experiments. Work that took days can take minutes. The waste is over-reliance, and the hours people burn forcing a tool to do something a pencil would do faster.

Use a hosted model and your data leaves the building – every prompt, document and customer record lands on somebody else’s servers, under somebody else’s law. Self-host and the data stays, but the model’s worldview comes with it, and a system quietly shading a supplier risk assessment in a direction you would never think to audit is a harder problem than one that refuses to discuss a topic.
Neither of those means don’t use it. They mean deciding in advance what never gets pasted into a hosted model, and treating self-hosted output the way you would treat advice from a consultant whose incentives you do not know. That decision is most of the work, and it is the part that gets skipped.

Quote acceptance up 52%, average deal size up 40%, deals closed per rep up 43%, and receivables aging down from 23 days to 9 – paid two weeks faster, on bigger deals, by the same people. None of it came from a chatbot: it came from finding where deals actually slowed down and deploying AI at those points. Note also what is not there – very little AI remains in daily operation, and what does is assistive, so there is no exposure if AI pricing changes.
Research and deep research on the public services. Marketing collateral. And the one that actually changes how the business runs: find a process nobody enjoys – manual transcription, exporting from one system to re-import into another, a report someone rebuilds by hand every month – and have a small application written to close it. Three rules keep all of that safe: public interfaces only, never paste anything you would not publish, always check the sources.
Language models combine the security weaknesses of computers with the security weaknesses of human beings – they can be fooled by malformed input and by a persuasive argument, and they have real access. The mitigation is one word. If an AI can reach sensitive data, do not give it any way to communicate externally. The uncomfortable corollary is that some products cannot satisfy that rule by design, and are a risk to accept or decline rather than mitigate.
You do not have to choose between capable models and keeping your data. Strip the identifying detail before anything leaves – names, numbers, quoted history – send the anonymised text out for the heavy lifting, then put the detail back on the results locally. It is how you can mine years of your own email for what customers actually told you without handing the archive to a third party whose incentive is to monetise it.
A model has good general training on KPIs, process and code. It has none on you. Build it a dashboard and the errors are predictable: pay periods that do not line up with monthly figures, credit-card payments counted twice because the payment is itself an expense, ledger entries that exist only for reporting. Easy to fix once found. The work is knowing to look.
